About the Role

Office Manager / Executive Assistant

A distinguished private equity firm, specialising in the UK real estate sector, is seeking a highly organised and proactive Office Manager / Executive Assistant to support daily operations. This company has a proven track record, having deploying millions in equity during 2023 and managing large assets.

The role involves managing office administration, assisting with property-related tasks, and providing executive support to senior leadership. The ideal candidate will be a strong multitasker with excellent communication skills and a keen eye for detail.

Key Responsibilities

Office Management:

  • Oversee daily office operations to ensure efficiency and organisation.
  • Manage office supplies, equipment, and facility maintenance.
  • Act as the main point of contact for clients, tenants, and service providers.
  • Handle correspondence, phone calls, and emails professionally.
  • Maintain and organise digital and physical office records.

Property Operations Support:

  • Maintain and update property, tenant, and key contact databases.
  • Assist in coordinating property purchases, working with legal, finance, and banking professionals.
  • Support development projects by liaising with contractors and industry professionals.
  • Contribute to marketing efforts by designing brochures and presentations for investors.
  • Assist in managing ongoing projects, including acquisitions, financing, and development.

Executive Support:

  • Provide administrative assistance to senior management, including diary management.
  • Organise meetings, prepare agendas, and take minutes.
  • Arrange travel and scheduling for senior staff.
  • Support financial administration, including invoicing and expense tracking.
  • Handle confidential matters with professionalism and discretion.

Key Skills & Competencies:

  • Strong organisational and time management skills.
  • Excellent written and verbal communication.
  • Ability to multitask and manage priorities effectively.
  • Detail-oriented with strong problem-solving abilities.
  • Comfortable working independently and as part of a team.

Requirements:

  • Experience in office administration, property management, or real estate is beneficial but not essential.
  • Previous experience in office management or supporting senior/executive teams preferred.
